LDJ Events - Terms and Conditions
By paying your booking fee, you agree to our booking T&Cs below which apply to ALL of our services…
Booking Fees & Booking Forms
All bookings require a booking fee and completed booking form to secure the booking. Booking fees are non-refundable and non-transferable under any circumstances.
Payment Options
All booking fees are payable via bank transfer to secure your booking.
For your remaining balance we offer 2 payment options:
CASH – Cash Payments are due once we arrive at the venue, before we setup for your event.
BANK TRANSFER – Your final balance must be cleared 1 week before your event if paying via bank transfer.
Any payment not paid by the due date may incur a late payment charge of 5% of the outstanding balance, plus any reasonable costs incurred in recovering the debt.
Cancellation Policy
Should you choose to cancel your event, all booking fees paid and/or deposits are non-refundable under any circumstance.
Any balance payments made (excluding booking fee) will be refunded minus any cancellation charges set out below.
Cancellations within 6 months of the event will require 100% of the total booking value to be paid.
Cancellations within 12-6 months before the event will require 50% of the total booking value to be paid.
Should we have to issue legal proceedings to recover any sum from the Client, the Client will be liable for all legal costs and expenses incurred by us.
Where an event cannot happen by law, emergency legislation or Government / Local Council advice, LDJ Events will allow you to re-schedule your event to a new date within 12 months of your initial event date with no additional fees or charges. Booking fees can be transferred to this new date. Subject to availability.
Under extreme circumstances where LDJ Events may be required to cancel your event (Staff Sickness, Emergencies, Extreme Adverse Weather etc) we reserve the right to do so and will always do so at the earliest possibility with a full refund made to the customer. Cancellations will be made in writing to the email address provided upon booking with us.
Rescheduling
If you choose to reschedule your event to a date more than 9 months on from your initial event date, a rescheduling fee of 10% of the total initial booking value will be added to your rescheduled booking.
Behaviour
LDJ Events reserve the right to stop providing a service at any event if the safety of our staff, equipment or guests becomes a concern. In these circumstances, a full payment will remain payable but we will cease to provide our services. Under 18s must be under adult supervision at all times.
Setup
We require 1hr to setup and a minimum of 30 minutes to pack away unless otherwise agreed in writing.
A minimum of 3m (wide) x 2m (deep) x 2.5m (high) space is required for our disco setups and 2.5m (wide) x 2m (deep) x 2.5m (high) for our Selfie Pod Photobooths.
2 x UK 13 Amp Sockets are required within 5 meters of each setup location.
LDJ Events cannot be held responsible to a delay in your event start time due to any of the above being limited, reduced or incorrect.
A parking space near to the venue entrance should be reserved for our team.
Breakages / Damage
LDJ Events cannot be held responsible for any harm caused to any attendee, member of the public, their property or damage to a venue / venue’s property under any circumstances. We carry full Public Liability Insurance however all damage or injury must be reported to our team before the end of the event. Claims of damage after we have left the venue will be rejected. Should a guest at your event cause damage to any of LDJ Events' Equipment, as the client, you are responsible for the price of repair or replacement of this equipment and any loss of income as a result of the equipment being out of action for other bookings.
Sound, Lighting & Special Effects
Limitations – LDJ Events cannot be held responsible for limitations put in place that may affect the services we are providing such as Sound Limiters, Smoke Detection Systems or similar. UV Glow Parties require a darkened venue – please check this with your venue before booking this package.
LDJ Events cannot be held responsible for the way that some people may be affected by flashing lights/ strobe effects, loud sounds, haze / smoke effects, bubble fluid and / or any other effects. If your booking includes use of a Bubble Machine, you should be aware that the floor can become slippery during use. Whilst we will do our best to keep the floor dry, it is the client’s responsibility to make safe any spillages or slippery surfaces and warn of any danger. We cannot be held responsible for any slips or falls that may result in injury.
Photography / Videography
By placing a booking with us, you agree for us to take photos and videos at your event and for these to be used on our websites and associated social media channels.
Licenses
It is the responsibility of the hirer of LDJ Events to ensure that the Venue / Event Organisers hold the relevant licensing to hold the event. By placing a booking with LDJ Events, you confirm that you have checked the above.
Prizes / Give-Aways
As part of our Children’s Party Packages, we provide prizes free of charge. We cannot be held responsible for any accidents that may occur as a result of these prizes including allergic reactions, choking etc. It is the parent’s responsibility to read the ingredients of any edible prizes and check that they are safe for their child to consume.
Delays
LDJ Events cannot be held responsible for a delay in event setup or the event start time as a result of adverse weather, venues running behind schedule, traffic delays, faulty equipment, road closures or similar. In these circumstances, best endeavours will be made to arrive at the venue ASAP.
Hospitality (Applicable to events lasting over 4hrs)
The client is responsible for providing access to food and soft drinks for our Staff at their event.
Parking Charges
Whilst almost all venues we work at offer free parking, it's important that we notify our customers that all parking charges relating to your event are payable by the client. This includes Pay & Display Parking and any parking fines or fixed penalty notices obtained as a result of providing our services at your event.
Face Painting, Glitter Tattoos, Balloon Modelling, Soft Play, Bouncy Castles
If you book any of the above services with LDJ Events, these are sub-contracted to Fantasy Castles. By placing a booking with us for these services, you also agree to the hirer’s T&Cs available HERE
Terms & Conditions – No Signature Required
Please note that there is no signature required whilst entering into this contract with us.
You hereby have 14 days to dispute your Terms and Conditions; after this time scale, the contract is then legally binding.
Selfie Pod Photobooths – Specific T&Cs in Addition to our Standard Terms
Print Packages
Classic Print Package – This includes 1 x high resolution collage print per Selfie Pod Session up to a maximum of 150 prints in total. Prints are a standard 4x6 size.
Deluxe Print Package – This includes 2 x high resolution customised collage prints per Selfie Pod session up to a Maximum of 250 prints in total. Prints are a standard 4x6 size.
Service Period - On rare occasions it is essential that the Selfie Pod is temporarily closed for maintenance or fault repairs to be undertaken to the pod, printer or associated hardware. We therefore agree to have the Photobooth operational for a minimum of 80% during the hire period.
Images, Data & GDPR - All photos, videos & GIFs captured remain the intellectual property of LDJ Events. The client and their guests grant LDJ Events permission to use the captured media for promotional, marketing and portfolio purposes unless otherwise agrees in writing prior to the event. LDJ Events comply with GDPR regulations. All images will be stored securely and not shared with third parties other than for the reasons stated above.
Cloud Gallery & Sharing Links - All online cloud gallery links and guest sharing links (SMS, Email & QR links) are valid for 30 days only. It is the client’s and their guests’ responsibility to make copies of all media.
Hardware & Software Failure
We take all reasonable steps to ensure our equipment and software operate correctly throughout your event. However, due to the nature of electronic equipment and third-party technology, we cannot guarantee uninterrupted operation at all times.
In the event of a malfunction, breakdown, software error, power interruption, venue infrastructure issue, internet connectivity problem, or any other technical failure beyond our reasonable control, we will use reasonable endeavours to rectify the issue as quickly as possible, including repairing, restarting, replacing, or substituting equipment where practicable.
Where a technical issue results in a temporary interruption of service, this shall not automatically entitle the Client to a refund. Any compensation, refund, or credit offered shall be at our sole discretion and will take into account the extent and duration of the interruption and the proportion of the contracted service affected. (See ‘Service period’ above)
If a technical failure prevents the Photo Booth from operating for a substantial part of the booked hire period and we are unable to provide a suitable remedy during the event, our liability shall be limited to a refund of the proportion of the hire fee relating to the affected period, or such alternative remedy as we reasonably determine.
If our printer or associated hardware completely fails before or during a booking and it is not possible to get replacement kit to the venue for any reason, we will continue to provide a ‘Digital Only’ Package. In these circumstances, the customer will receive a refund for the price difference between the Print Package they have chosen and the Website Price of our Digital Only Package to cover the loss of the printing service.
We shall not be liable for any indirect, consequential, or special losses, including but not limited to loss of enjoyment, disappointment, loss of business, loss of profits, loss of opportunity, or loss of data arising from any equipment or software failure.
Nothing in these Terms shall limit or exclude any liability that cannot legally be limited or excluded under applicable law.
